The organization of a meeting of a company, institution or collegiate body, be it the University Senate, the Governing Council or a Faculty Board, requires a lot of time and planning to summon the attendees, inform them of the items on the agenda and then put into a record the result of the agreements and deliberations.
But today we are asking the question: Can this whole process be digitised and speeded up?
The collegiate bodies have regular meetings which require them to summon their members sufficiently in advance, to confirm their attendance and to gather a large amount of information and documentation on the subjects to be dealt with in order to transmit it to them. In order to facilitate all this work, the Universitat Jaume I (UJI) of Castellón has developed, together with the Universidad Politécnica de Valencia (UPV), the Universidad de Alicante (UA) and the Universitat de València (UV), an online solution: Gestión de órganos colegiados (GOC). It is an application designed to convene and digitally manage this type of meetings from a single platform.
Technology is helping us, both in our professional lives and in our personal and private lives, leaving behind some traditional media such as paper. This is the case of GOC, which covers the whole process of organising a meeting, with clear advantages for the staff in charge of all these tasks. The weight of meetings in our daily work is very important. This is confirmed by a study carried out by eShare in the United Kingdom, which shows that up to 25% of working time is invested in meetings. And no one can escape the fact that the
key to their success is good planning and management.
